BODY MEETING MINUTES

LOCATION: Hamilton Public Library, 1 Municipal Drive, Hamilton, NJ 08619

 

OPENING:  Tim Opening with the serenity prayer.

 

New Intergroup Reps:

George:  Sunday Night

Lisa: Monday night step and tradition

Tom: Lawrenceville step

Chelsea: Anonymous Alcoholics at the club

I missed a name or two of the new Intergroup Reps.

 

Intergroup rep handbooks were offered out to new reps.

 

Tim:  Any new anniversaries since we last met.

 

Reports:

Tim Chair:

The website position is going to be avail.  Will be voted on for next month it will be brought to a vote.  We need a nomination

 

 

Moe Co-Chair:

Phones:  There are many openings for phone commitments.  2 years for call forwarding, 1 year to go to the office in Bordentown.

See her after the meeting for additional information.

 

Are there keys being given out for chairs for literature and institutions to get literature?  YES.

Scott:  Reviewed sign in list and e-mail addresses carried over from LY.  Paper copies will be US mailed to those addresses on file.  It is important to fill out the sign in legibly so that minutes can be sent.

Meeting started at 7:05.  Need a unity and archives Chair.

We will discuss in new business the splitting of the P&I Chair into 2 Chairs.

 

Doug:

Answering service.  He is updating the schedules.  A lot of inquiries to take commitments. There are a lot of openings please see Doug and he will set you up

 

Richard:

H&I:  Thanks everyone to allow him to serve.  Audrey passed on all of the information and answered a lot of questions.

He received all of the commitments.  Our goal is to fill all these commitments.  He will be reaching out to get them filled.

 

Website: Need a Chair.  Nominations and Vote Next Body Meeting.

Will be avail for February.

Meeting lists

Beth:  Shawn will be the Co-Chair.  Talking to Tom the previous chair he would help her with the transition.  The chair does not have a copy of the Publisher.  She wants to get a form onto the website to click on and to make these changes on line.  Ensure the set up ensures that all fields must be filled out so that the information is as complete as possible.

Intergroup does have a copy of publisher.  We are calling someone? Who was the last known person with the copy of MS Publisher.  I believe Chuck? was calling.

 

Literature

Fred:

Some literature is avail.  He will organize and have a more complete library for the meetings going forward.  Offered cell phone for anyone who needs information.

She is still trying to figure out all of the meetings.  A new meeting at Mercer County for the women is being set up.  She has applications please see Audrey if you want to sign up/

BO ROBINSON:  Thurs nights.

 

Chuck:

Mike is doing Bo Robinson he will give his number.

They are doing back ground checks on everyone

Cannot be on Parole or a family member in the NJ System

They are bringing lots of literature in.

E-books are available online now for iPADS, Droids, etc.  Go to the AA site so that the GSO gets the funds as opposed to apple.

OLD BUSINESS:

 

The unity Chair  and archives is still open if anyone is interested in volunteer or nominating

Question:  What is unity?  Read the outline from the handbook.  

 

NEW BUSINESS:

 

Roseanne:  When she gave report she wanted to add to the people that have budgets it is important that when you are taking literature that you write down what you are taking and how many you are taking for a given day so that she can track it for the budget.

DID H&I spend all of the money?  She has $426 for the year.  We need to find out where that is.  Were told to put into the Literature slot.  Ordered the last of the Budget.  What they were doing Matt wanted the slip filled out and put into the literature chair box.

They believe that they spent the entire budget.

September they asked for and got additional money $1000.

 

Issue with How the Two Chairs for Prisons were split up.  Now that we are at the body meeting.  What we need to do is get this resolved.  They bylaws state that there is one chair for Prisons.  Reports will need to be separate since men cannot get into women’s prisons and vice versa.  Since both have people helping them.  They need to remain separate, however, the bylaws said Chair and we acted without looking at the bylaws.  A mistake was made.  There is no procedure in place to guide us.  The vote was made and we have to take into account that the body voted.  We made a decision in the face of the body.  The trustees said that we can vote, and therefore we did.  Chuck:  let’s just change the bylaws and move on.

Roseanne:  This should all be brought to the steering committee and then to the body.

 

Maureen:  The point is that there is a procedure for this with the bylaws.  We are coming back to the body.

 

Motion to change the bylaws.  A LOT OF CONFUSION AND TALKING.

The bylaws are a legal requirement.  It is possible to change one line.  We don’t have to go through the process to change the bylaws.

 

Chris

There was a mistake.  We elect a committee Chairperson.  The committee meets and discusses what is going on with that committee.  Let’s table this to the steering committee so that all of the chairs of all the committees can discus and bring it back to the body.

I believe that we cannot make an amendment here without all the trustees.

 

All elements of budget, etc. need to be discussed

 

Jami:  Three issues, as far as she has been told.  No one really knows what the procedure is.  There was a vote and we cannot negate that the vote did not happen.  The reps for the home groups made a decision to change the chairs.

 

Richard.  Suggests that they take it back to the steering committee.

 

Chris.  The steering committee meets monthly to discuss CJI information.  Read the role for the steering committee to solve matters.  If we need to have another vote we will do that.  

 

Outcome is that we will take it back to the steering committee to discuss it further in respect to splitting the Chair, Budget, and financial matters.
